Reserving Space
Division of Continuing Studies (DoCS) departments and Rutgers departments may request to use the various spaces at LLC, subject to availability and approval.
Reservations are reviewed on a rolling 6-month window from the date of your event/program.
*DoCS Operations Team retains full discretion to approve, modify, or cancel reservations to maintain safety, compliance, and equitable access to facilities.
Yes. Special accommodations, including early opening, late closing, or weekend access, may be arranged in advance with the LLC Operations Team. Additional staffing fees will apply for these hours.
Division of Continuing Studies (DoCS) Departments will use the DoCS Central Scheduling Online System (EMS) to submit requests for space use.
LLC Event Space Reservation Request Form
All other Rutgers departments must submit the LLC Event Space Reservation Request Form. A member of the LLC Operations team will follow up with next steps.
To ensure you reservation can be reviewed and approved without delays, please provide complete and detailed information of your event. Incomplete requests may require follow-up by the DoCS Operations team.
Be ready to provide details such as:
- Event details: name, description, contact information
- Date & timeline of your event:
- Event date(s)
- Arrival time for setup
- Event/program start and end times
- Breakdown/cleanup
- Estimated number of attendees
- Room needs: your preferred room and layout
- Audiovisual equipment
- Catering: vendor name and delivery/setup/breakdown times
- Additional supplies and equipment needed
Need to make a change?
- If there are any changes that need to be made, please email the DoCS Operations team at ops@docs.rutgers.edu with the details of the change(s) 48 hours prior to your event. You will receive confirmation if your change request is possible.
Need to cancel?
- Due to limited space availability, late cancellations restrict our ability to accommodate other reservation requests. Cancellation requests must be submitted by email to the DoCS Operations team at ops@docs.rutgers.edu
- If you need to cancel your event, please reach out to the ops@docs.rutgers.edu as soon as possible.
- Cancellations are subject to the following fees based on the scheduled event date:
- 31-60 days before your event: $100
- 15-30 days before your event: $150
- 14 days or fewer before your event: $200
Building Information
While we offer photos of our spaces on Explore Our Spaces section, we understand that seeing it in person can be helpful.
To schedule a walkthrough, please email the DoCS Operations team at ops@docs.rutgers.edu so we can coordinate a convenient time for a walkthrough.
The Lifelong Learning Center operates five days a week:
Monday - Friday 8:30AM - 5:00PM
Technology & Support
The Operations team will coordinate with departments to assess event needs and provide guidance on available support.
The LLC Operations Team will be responsible for completing classroom setups requested in advanced. They will also provide basic- level 1 tech support if requested.
For more complex technical issues, coordination with the ITACS (Information Technology at Continuing Studies) team will be made for further assistance. A fee will apply for intermediate-level 2 and advance-level 3 tech support.
Spaces & Setup
Yes! Many of our spaces can be arranged to support different setups. Examples of the various room layouts can be found on our Explore our Spaces section.
Please note: A $50 room setup/breakdown fee applies for alternate configurations, and while most spaces can be rearranged, not all layouts are possible in every room.
Food & Catering
Each department is responsible for placing food orders for their courses, events, or programs. Catering must be selected from the network of Rutgers approved caterers.
When placing an order, please be sure to provide the vendor or caterer with the exact delivery location (including address and classroom number), along with any special instructions. The ordering department is also responsible for ensuring proper cleanup at the end of the course or program.
Parking
Parking lot 83 of the Lifelong Learning Center has been designated as a Rutgers University parking lot and anyone parking their personal vehicle will be required to have a valid parking permit.
- The sponsoring program, organization, or department is fully responsible for providing accurate parking information and ensuring that students and guests have appropriate access. For more information about parking, please visit https://parktran.rutgers.edu/events
- LLC Operations Team are not responsible for managing, reserving, or monitoring parking. Any issues arising from parking arrangements are the responsibility of the sponsoring group.
Supplies
Storage is not available at the Rutgers Lifelong Learning Center for materials or equipment prior to the scheduled date and time of a reservation. Shipments are only accepted with prior written approval by the DoCS Operations team. Unauthorized deliveries will be refused or returned.
Event materials may arrive only on the day of the event and must be removed by 9:00AM the latest the following day. Limited exceptions for weekend events may be granted with written approval.
Clients are responsible for removing all materials and equipment. Items left longer than 48 hours will be considered abandoned and removal costs will apply.
